Policies

 By working with Thrive and its employees or agents, you agree to adhere to these policies.

CANCELLATION POLICY:

  • A 24 hour notice is required for all cancellations (see section on illnesses below).  If adequate notice is not given the session will be considered fulfilled and will be charged the full time of service rate.

  • If you are running late to a session but are not cancelling, please let us know as soon as possible so we know to still expect you.  Our providers will continue to be available for 20 minutes after the scheduled start time, but if no contact has been made by this time our providers may consider the session fulfilled at their own discretion and may leave the office.  Depending on how late you are running, we may or may not still be able to still have time for a productive session, but if you contact us we will do what we can.

  • Repeated cancellations or late arrivals may lead to instituting late fees or discontinuation of care at the discretion of your provider.

  • NOTE: Cancellation or late fees are not covered by insurance plans and will be charged directly.

ILLNESS POLICY:

  • Our Covid policy supersedes any policies listed here when relevant. It can be viewed here.

  • At any given time many of our patients are immuno-compromised, so we must require anyone who is sick or suspects that they are sick to reschedule until they have had 48 hours without a fever, or longer at the discretion of their provider.  They may still be required to wear a face mask and sanitize if they are still symptomatic at this point. 

  • If a patient realizes that they are sick and are less than 24 hours from an appointment they must contact us as soon as possible to avoid late cancellation fees, which will be considered on a case by case basis.

  • If a patient arrives at a session sick, without having given us notice in advance, the session will be cancelled, considered fulfilled, and charged at the time of service rate.

  • If a patient tries to hide that they are sick, their continuing care will be terminated, at the discretion of their provider.

PAYMENT POLICY:

  • We require a valid credit card on file for ALL patients before the start of their first session, including patients who are using insurance for our services. We will only use this card for cash pay/insurance copays at your request, or to collect payment for fees or services not covered by insurance when they have not otherwise been paid via invoice in a timely manner.

  • All invoiced balance due must be paid within 30 days of the date sent, or will be charged a 1.5% fee, or $25, whichever is larger. At this point we will attempt to run the balance due to the card on file and if this is not successful, the balance due will be sent to collections, including any late fees, unless another arrangement has been made prior. 

  • If you have questions, concerns, or other difficulties around billing and payment, please get in touch. We are happy to work with you if we are able to, but cannot do so if you do not open a dialogue with us. Especially when insurance is involved, there are at times arbitrary denials or other similar issues which can be concerning at first, we can take care of.

ADDITIONAL POLICIES:

  • To ensure the safe and effective execution of medical and health services you must update your provider(s) at Thrive with ANY and ALL changes to your medical profile at or before your next appointment. This may include diagnoses, symptoms, medications or other treatments, and anything else which may affect your medical and health situation. Failure to do so may result in unsafe and ineffective therapies, and Thrive, it’s employees, and agents will not be held liable for resulting consequences.

  • For the comfort of both the patient and the provider, a legal guardian must be present for the entirety of any session where the patient is a minor.

  • Patients we do not see for 60 days without prior plans or discussion, may be placed back onto the scheduling wait list for future appointments. If you expect a long period between appointments, please let us know.
